Send from your own domain (DKIM)

Send replies from your own address, signed with your domain for the best inbox placement.

Branded Setup: 1 DNS recordRecommended for most teams

This is one of four ways Lunadesk can send your email replies. To compare them side by side, see Choosing how Lunadesk sends your email replies.

Throughout this guide we'll use an example store, Acme Outdoor, whose support address is support@acmeoutdoor.com, and a customer named Sarah asking where her order is.

What it is

Your replies are sent from your own address, like support@acmeoutdoor.com. To your customer, the email looks exactly like one you sent from your regular mailbox. There's no @lunadesk.ai address and no "via" label.

To make this work, you add one record to your domain's DNS settings. That record is a digital signature called DKIM. In plain terms, it tells inbox providers like Gmail, Outlook and Yahoo: "Lunadesk is allowed to send email for acmeoutdoor.com." Providers check that signature on every email. When it matches, they trust the email as genuinely yours, which helps your replies land in the inbox instead of spam.

Setting it up

You'll need to log in to wherever your domain's DNS is managed. That's usually where you bought your domain or where your website is hosted, such as GoDaddy, Namecheap, Cloudflare, Squarespace, Wix or Google Cloud DNS. If you're not sure, ask whoever set up your website or email.

In Lunadesk, select Send from your own domain (DKIM) and click Continue. Lunadesk shows you one DNS record with a Type, a Name (sometimes called Host) and a Value.

In a new tab, log in to your DNS provider and open the DNS settings for your domain.

Add a new record. Choose the same Type Lunadesk shows you, then copy and paste the Name and Value exactly. Leave the TTL at its default.

Save the record.

Go back to Lunadesk. We check for the record automatically and notify you as soon as it's live. Most records are picked up within minutes, but DNS changes can take up to 48 hours to spread across the internet.

Until the record is verified, your replies keep sending from your Lunadesk address, so nothing is held up while you wait.

!

Tip: watch out for a doubled domain name. Many DNS providers add your domain to the end of the Name field automatically. If Lunadesk shows a Name that ends in ".acmeoutdoor.com" and your provider adds it again, you'll end up with ".acmeoutdoor.com.acmeoutdoor.com" and verification will fail. If your provider already shows your domain next to the Name box, paste only the part before it.

i

Using Cloudflare? If the record type is CNAME, set the proxy status to DNS only (grey cloud). Proxied records can't be verified.

A good fit if

  • ✓You want every reply to look like it came directly from your business.
  • ✓You care about deliverability and want the best chance of landing in the inbox.
  • ✓You (or someone on your team) can add a DNS record.

Keep in mind

  • !This record sits alongside your existing email setup. It doesn't change or interfere with how your regular mailbox (Google Workspace, Microsoft 365 or anything else) sends and receives email.
  • !Don't delete the record later. If it's removed, inbox providers can no longer verify your replies and they may start landing in spam.

Frequently asked questions

Will adding the DKIM record break my current email?
No. The record is added alongside your existing records. Your regular mailbox keeps working exactly as before.
My DNS record isn't verifying. What should I check?
Make sure the Name and Value were copied exactly, with no extra spaces, and that your domain isn't doubled at the end of the Name (see the tip above). If you use Cloudflare, make sure the record is set to DNS only. DNS changes can take up to 48 hours, so if everything looks right, give it a little more time.
Do I need a developer to set this up?
No. You need someone who can log in to your domain's DNS settings, which usually takes about five minutes.
Which option gives the best deliverability?
Sending from your own domain (DKIM) or via your own SMTP server, because your replies come from your own verified domain. DKIM is the easiest way to get there.
Can I switch to a different option later?
Yes. You can switch between options at any time from Settings. Switching only changes how new replies are sent. Your existing tickets, conversations and history stay exactly where they are.
